Congratulations on mastering the QuickStart! You already know how to connect your inboxes, set up basic deals or tasks, and collaborate with teammates. Now, let’s unlock RogerRoger’s full potential with these advanced tools and methods.
1. Creating & Customizing Workspaces
Multiple Boards for Different Teams or Projects
Why Use Multiple Boards?
Keep your projects and processes organized. For instance, have one workspace for “Sales Pipeline,” another for “Client Onboarding,” and yet another for “Recruiting.”How to Set It Up
Go to Workspaces in the main menu.
Click Create a Workspace.
Give it a name (e.g., “Q2 Recruiting”).
Choose the board type: Sales Pipeline or Task Board.
Or let our AI help you by generating a board for you.
Tailor Each Board
Sales Pipeline Board: This board includes stages like “New Lead,” “Contacted,” “Negotiation,” “Won,” or “Lost,” as well as deal amount fields.
Task Board: Columns such as “To Do,” “In Progress,” “Review,” “Completed,” etc.
Workspace Permissions
Invite the Right People: Some boards (such as those for high-level sales strategy) might be confidential, while others require broader access.
Admin Controls: You can decide who can create boards, edit columns, or invite more teammates. This keeps data secure and prevents accidental changes.
2. CRM Linking & Contact Management
Linking Deals/Tasks to Contacts
Holistic View: When you link a deal or task to a contact, RogerRoger aggregates all interactions—emails, LinkedIn chats, WhatsApp messages—linked to that person.
How to Link
Open a deal or task.
Click Link Contact and select the relevant person (or create a new contact if needed).
Now, any note or comment in the deal/task also appears in the CRM record for quick reference.
Contact Insights
Spot Ongoing Conversations: Immediately see if other teammates are in touch with the same contact. Perfect for avoiding duplicate outreach.
Company Views: If you also track companies, you can see a broader map of which contacts belong to the same org, who’s speaking with them, and which deals are currently open.
3. Collaboration Tools & Notifications
Internal Notes & @Mentions
Invisible to Clients: Notes and comments you add in RogerRoger stay internal. Clients only see actual email or chat replies.
@Mentions: Tag teammates (@Erica) in the deal, task, or conversation notes. They’ll get a notification to jump in.
Assigning Conversations & Deals
Inbox Assignments: For a high-priority incoming message, assign it directly to the right teammate’s inbox.
Deal/Task Ownership: Each deal or task can have a primary owner, the assignee. An assignee can be changed at all times.
Notifications
Stay in the Loop: If you want real-time notifications about a deal, task, or conversation, mark yourself as the assignee.
Notification Preferences: Manage email or in-app notifications under your profile settings to avoid overload.
4. Advanced Use of Boards
Custom Columns & Stages
Tailor the Pipeline: Add columns for “Technical Review,” “Legal Approval,” “Interview Round 2,” or anything else unique to your process.
Optional Fields: In a sales pipeline, you can track things like deal amount.
Deeper Sales Tracking
Deal Amount & Status: Update the potential revenue or outcome of each deal, then sort your board by the highest value.
Won vs. Lost Insights: Tag deals as “Won” or “Lost” and add a reason (e.g., “Budget Constraints,” “Timing”). Over time, these insights can refine your strategy.
Linking Tasks to Deals
Sub-Task for Complex Deals: If a deal needs multiple to-dos (like creating a proposal, scheduling a demo, or roping in engineering), link tasks directly to that deal to keep everything tied together.
5. Templates, Recurring Tasks & Automations
Templates
Why Templates? If you have similar tasks or deals recurring (e.g., standard outreach sequences), save them as a template to avoid starting from scratch.
Setting Up: You can turn any taskor deal in to a template. Just hit the settings of the deal or task (3 dotted icon top right in the card) and choose “create template”.
Recurring Tasks
Ideal for Regular Check-Ins: Got monthly follow-ups, weekly team syncs, or routine pipeline reviews? Set a task to automatically recreate itself on a chosen schedule.
Customize Frequency: Daily, weekly, monthly, or even yearly—RogerRoger can do it all.
Automations
Auto-Assign: Route new tasks/deals to specific teammates based on tags, channels, or keywords (e.g., “enterprise leads” always go to the enterprise team).
Auto-Reminders: Trigger a reminder or follow-up if a deal has no activity for a certain number of days.
6. Working with “My Work” & Filters
“My Work” for Personal Organization
Centralized Tasks & Deals: See all items assigned to you (or watched by you) across every workspace in one place.
Prioritizing: Drag and drop tasks in My Work to reorder by urgency. Add personal tags or notes to keep yourself on track.
Creating & Saving Filters
Find What You Need Fast: Filter tasks or deals by label, due date, assignee, or status.
Saved Filters: If you frequently search for “High Priority + Unread + Tag = Urgent,” save it as a custom filter for 1-click access next time.
7. Additional Tips & Best Practices
Regular Check-Ins: Schedule weekly or monthly reviews of your boards to tidy up old deals, tasks, or archived items.
Keep Notes Centralized: Add relevant updates in the deal/task itself, not in separate chats or Slack messages. That way, everything is documented in one spot.
Monitor Key Metrics: In a Sales Pipeline, pay attention to your conversion rates, average deal size, and lead response times. Use tags and statuses to see what’s working—and what’s not.
Lean on Templates: If you find yourself repeating a process (like new client onboarding), build a template once, then just tweak it.
Encourage Team Collaboration: Make sure your teammates know they can @mention each other and use watchers. The more you share info internally, the fewer times you’ll need to chase each other down.
